The CD-Retrieval requires a login to check the authorisation of the user. In most cases there is a predefined user named ADMIN without any password (depends on the security settings).
If there are more than one archive available you have to choose via menu the appropriate archive. If there is only one archive, the archive menu doesn’t appear and you’ll get directly into the search dialog.
With the search button or the function key [F8] you will open the search dialog.
All fields you can use to search are shown in the search dialog. To determine your desired documents from the archive you must enter your search criterion into the appropriate fields. The documents which matches all specified search criteria will be displayed in the hitlist.
Date fields can be specified in a range.
E.g. to search for all documents within the year 1997 type: 01.01.1997-31.12.1997
In the extended search it is possible to define several search criteria for the same field. A single criterion consists of the fieldname, the operator and the value you would like to compare.
E.g. “Name=SMITH” and “Date > 01.04.1997”
By pressing the button with the “+” sign, the specified criterion will be added into the list. Afterwards you can enter the next search pattern.
By pressing the button with the “-” sign, the selected criterion will be removed from the list
Searching with wildcards (Standard/Extended search)
Within a text field it is possible to specify special characters (wildcards). The character “%” means an arbitrary series of character and the ‘_’ character stands for any character.
E.g. type “MU%” to look up the text data which starts with “MU”.
The SQL search is suitable for users who have experience in SQL. Here you can define extensive search expressions.
Example
You are looking for the document with the reference number 9700017.
Standard-Search
If there are not all shown fields empty you could press the empty button first to clear the search form.
Afterwards enter “9700017” into the field “ReferenceNumber”. Press “Search new” or the enter key to start the search.
Extended Search
If there are some criterion remaining from the previous search you could press the clear button first to clear the search form.
Afterwards select the field “ReferenceNumber” from the field list and choose the operator “=”. Enter “9700017” into the field beside the operator. Press “Search new” or the enter key to start the search.
Note
There are different possibilities to view a document from the hit list.
The simplest method is by double click on the appropriate document within the hit list.
If Quickview is activated it’s enough to change the selection within the hitlist or by clicking once to display the document.
It is also possible to press either the key combination ‘Ctrl’ + ‘A’ or via menu ‘Document-Show’ to view the selected document.
You can leaf through a multi page document by pressing the ‘+’ or ‘-‘ button on right side of your keyboard.
The following symbol appear on multi page document.
You can also step through the document without viewing the document immediately by using the buttons " ~ " and " € ". If you have moved to the desired page press on the eye – button to display the image.
Via menu ‘Document – Print’ or the key combination ‘Ctrl’ + ‘D’ or by pressing the button with the printer symbol you can print the selected document.
Thereby you can choose different options like:
Via menu ‚File-‚Fax-printer settings’ you can specify your fax-printer.
With the menu item ‘File – Mail program settings’ you are able to specify the program which is called to mail the selected document. If you are using for e.g. Microsoft Outlook 97, you can enter here the program SENDFILE.EXE which you can find in your MS Outlook folder. The selected mail program has to accept file names as command line parameters. If you are using MS Outlook 98/2000 you can use the delivered Docbase program DBMail32.exe.
